This Constitution relates to the transaction of business and affairs of the Caledonia Hunters & Anglers Youth Conservation Club. Be it enacted by the Directors of the Caledonia Hunters & Anglers Youth Conservation Club also known as CHAYCC.
(Let it be known that in the following document CHAYCC will describe the Caledonia Hunters & Anglers Youth Conservation Club, and OFAH will describe Ontario Federation of Anglers & Hunters.)
Section 1 - Organization Purpose and Objectives
The CHAYCC member’s purpose is “Discovering Your Place in the Outdoors”. It is a simple theme that encourages youth to establish leadership skills, teach teamwork and co-operation and to respect the values and opinions of others.
The CHAYCC’s goal is to get youths involved in the outdoors by becoming actively involved in their community and to teach the members how to respect and conserve the environment.
Youth leadership is strongly emphasized in the OFAH Get Outdoors program, which the CHAYCC is in the process of becoming affiliated with. The CHAYCC is a “club for youth, run by youth”. Once the CHAYCC obtains its “Get Outdoors” affiliation, the members will be able to earn badges, pins and crests for leadership skills, education, and many outdoors activities.
Through participation in any number of activities, including regular club meetings, youth members will gain self-confidence while learning organizational, communication and co-operative skills.
Section 2 - Membership and Membership Expectations
- Any youth shall be eligible for membership provided they are between the ages of 8 and 18 years of age. Children age 7 must be accompanied by an adult to ensure there are no behavioral issues.
- All applications for membership shall be reviewed by the Adult and Junior mentors and be presented to the Executive members (if applicable) and shall be under probation for one year.
- All members are expected to treat each other with respect and dignity. And to remember that members are entitled to their individual beliefs and opinions. Therefore swearing, indecent body gestures, and all other inappropriate displays of emotions will not be tolerated and will be subject to immediate involvement by the Executive Committee and/or the Mentors.
- Members are expected to remember that when donning the CHAYCC vest, they are in fact representing the CHAYCC and its philosophy, and are expected to behave accordingly. Any inappropriate conduct shall result in the immediate involvement by the Executive Committee and/or the Mentors.
- Each member is expected to contribute and participate equally. If however, a member has no interest or in unable to participate in certain events or discussions due to certain beliefs or opinions, this member’s wishes shall be respected. The member shall inform the Mentors if such a situation should arise.
Section 3 - Meetings

The CHAYCC meetings are on the first Monday of each month at 6:45pm at the Caledonia Hunters and Anglers Clubhouse.
- Important decisions will be made at every meeting including what Community Projects the CHAYCC will become involved in, any outdoor activities the members wish to partake in, etc. All members 8 years of age and older are entitled to a vote.
- Meetings are mandatory.
- If a member is unable to attend a meeting, please contact a Mentor to ensure that any important information shall be passed on to the absent member, and that no penalty shall be placed upon the absent member.
- Wearing of the CHAYCC vest is required at all meetings.
- Committee meetings (where applicable) can be held at the committee chair request. The Committee shall keep the CHAYCC members informed at the beginning of each meeting.
Section 4 - Management
- The Directors of the CHAYCC shall be the President, Vice President, Secretary, and Treasurer. These members will be responsible to ensure that the membership upholds and maintains the Constitution as written.
- The Directors must be a minimum of 13 years old. All eligible members must serve on the Executive Committee a minimum of once every three years.
- If there are not enough eligible members to serve, than the Mentors shall preside and uphold the Constitution.
Section 5 - Executive Expectations
- The President can at any time, organize an executive meeting to discuss issues concerning the operation of the club that have been brought forth by the general membership. He/she can at this executive meeting discuss executive member participation, meeting protocol and performance. The Executive cannot vote on expenditures greater than $50.00 without presenting it to the general membership. All Executive members must be contacted and in agreement with any proposal.
- All members are expected to treat each other with respect and dignity. Therefore swearing, inappropriate gesturing and all other inappropriate displays of behaviour will not be tolerated and could result in the member’s immediate dismissal from office.
- All members of the Executive will be expected to provide the secretary with a written, signed report of their progress and chair status as outlined in the meeting protocol section of this Constitution. Failure to provide this information may result in that member’s dismissal from the executive. This decision is to be made by the President, Vice President, and Mentors.
- If a Project/Event becomes too large for one member to manage, the chair may organize a sub-committee at the approval of the Executive Committee and Mentors.
Section 6 - Meeting Protocol
- The President of the organization shall preside at the meetings. If the President is not available, the Vice President will chair the meetings. If there is no Executive Committee due to a lack of eligible members, the meetings shall be chaired by the Mentors.
- Each meeting will begin with the reading of the Conservation Pledge. All members are encouraged to stand and show respect during this process. This means removing hats, standing straight and participating. The member chairing the meeting shall do the reading of the pledge.

- Review of Old Minutes. The secretary does this.
- Treasurer’s report.
- Conservation Report.
- Review Old Business.
- Request for New Business.
